Providing a Consistent, Safe,& Efficient Experience
To provide a consistent, safe, and efficient experience for all patients, NOVA IV Therapy has established the following practice policies. These guidelines help ensure smooth scheduling, appropriate clinical care, and a respectful environment for patients and staff.
If you have any questions, our team is happy to provide clarification. We appreciate your understanding and cooperation in helping us maintain a high standard of care.
Appointments & Scheduling
Appointments may be scheduled by phone, email, or through our website.
- Same-day appointments may be available for established patients, depending on clinical and staffing availability
- Walk-ins may be accommodated for established patients when possible
- New patient intake appointments are scheduled based on provider availability
Our IV Therapy Room operates with a limited number of monitored seats to ensure patient safety and appropriate supervision.
Cancellations & No-Shows
- A minimum of 24 hours’ notice is requested for cancellations
- A $150 intake deposit is required for initial visits and is applied toward the appointment
- Missed intake appointments without notice may result in forfeiture of the deposit if the appointment is not rescheduled.
For IV appointments:
- Same-day cancellations or no-shows result in a $50 fee, which must be resolved prior to future scheduling
We make reasonable accommodations for rescheduling when advance notice is provided.
Late Arrivals
We make every effort to stay on schedule and accommodate patients when possible.
- New patient appointments may be accommodated up to 15 minutes late, depending on provider availability.
- IV appointments may be accommodated later depending on room capacity, but delays may result in extended wait times.
- If we are unable to accommodate a late arrival, the appointment may need to be rescheduled.
To ensure quality of care, appointments are not shortened once started.
Payment Policy
- Payment is collected at the time of service
- We accept credit cards, cash, and HSA/FSA cards
Please note:
- HSA/FSA acceptance is subject to the terms of your individual plan
- Patients are responsible for providing an alternate form of payment if needed
For convenience, a card may be securely maintained on file.
Insurance & Billing
IV nutrient therapy and ozone-based procedures are self-pay services and are not typically covered by insurance.
- A superbill may be provided for self-pay services for your records
- Coverage and reimbursement are dependent on individual insurance plans
As the practice evolves, insurance may be accepted for conventional medical office visits, such as routine or acute care. Additional details will be provided as those services become available.
Clinical & Safety Policies
- All IV and ozone therapies require a provider order prior to administration
- Treatment recommendations are based on clinical evaluation and patient-specific considerations
- Patients always have the option to accept or decline any recommended therapy
Our providers may also determine that a therapy is not appropriate based on safety considerations.
IV Therapy Room Guidelines
To maintain a comfortable and safe environment:
- Patients are welcome to use phones or personal devices (ringer on silent)
- Phone calls should be kept brief
- A quiet, respectful environment is expected
Due to the nature of IV therapy, laptop use may be limited during treatment.
Visitors
- Adult patients may bring one guest, space permitting
- Guests must respect the clinical environment and other patients
Additional guidelines:
- Children under 12 are discouraged in the IV Therapy Room
- Service animals are permitted if well-trained and able to remain calm throughout the visit
Minors
- Patients ages 12 and older may receive services
- A parent or guardian must be present during the visit
Care Plans, Packages
& Refunds
- Completed services are non-refundable
- Care plans or bundled services are non-refundable once initiated
- Unused services within a care plan are not refundable or transferable
Care plans are designed to be completed within a defined timeframe based on provider recommendations. Completing the full course of care is encouraged to support continuity and consistency.
